Aesthetics Center is seeking a receptionist, you will be the first point of contact for visitors and clients, providing exceptional customer service and ensuring smooth operations in the front office. Your friendly and professional demeanor will contribute to creating a positive and welcoming environment for all.
Responsibilities:
1. Greeting and welcoming visitors, clients, and employees with a warm and friendly attitude.
2. Answering phone calls, taking messages, and directing calls to the appropriate individuals.
3. Managing and organizing appointments, meetings, and conference room schedules.
4. Assisting clients with inquiries, providing information, and addressing their concerns or redirecting them to the appropriate person.
5. Maintaining a clean and organized reception area, ensuring a presentable appearance at all times.
6. Sorting and distributing mail, faxes, and other deliveries accurately and promptly.
7. Coordinating and scheduling travel arrangements, including flights, transportation, and accommodations, when necessary.
8. Assisting with basic administrative tasks, such as filing, data entry, and document preparation.
9. Managing office supplies inventory and placing orders when needed.
10. Collaborating with other departments and team members to ensure efficient communication and workflow.
Qualifications:
1. Excellent communication and interpersonal skills to interact with visitors, clients, and colleagues in a professional and friendly manner.
2. Strong organizational and multitasking abilities to handle various responsibilities and prioritize tasks effectively.
3. Proficiency in using office equipment, such as telephones, computers, printers, and scanners.
4. Good knowledge of administrative and clerical procedures.
5. Attention to detail to ensure accuracy in managing appointments, messages, and other tasks.
6. Ability to maintain confidentiality and handle sensitive information with discretion.
7. Strong problem-solving skills and the ability to remain calm and composed in stressful situations.
8. Flexibility to adapt to changing priorities and work schedules.
9. Proficiency in using software applications such as Microsoft Office Suite (Word, Excel, Outlook).
