Slim Body Wellness is looking for an experienced and highly organized Front Desk Coordinator / Lead to oversee client experience, front desk operations, and administrative support in our high-end wellness and aesthetics clinic. This role requires a strong customer service mindset, the ability to manage schedules and client interactions seamlessly, and light leadership responsibilities similar to an assistant manager.
Key Responsibilities:
Client Experience & Front Desk Management
• Provide a warm, welcoming, and professional atmosphere for all clients.
• Greet and check-in clients, confirm appointments, and assist with inquiries.
• Educate clients on treatment options, membership programs, and skincare products.
• Handle client concerns with professionalism, resolving issues effectively.
• Monitor client retention and proactively follow up on missed appointments or renewals.
Scheduling & Administrative Support
• Manage appointment scheduling using Blvd software.
• Coordinate provider schedules for efficiency and productivity.
• Ensure all client intake forms, medical history, and consents are completed before treatments.
• Assist with HIPAA compliance and client confidentiality policies.
• Oversee inventory of skincare products and office supplies.
• Support providers with patient charting, before/after photos, and post-treatment care instructions.
Sales & Business Growth
• Assist with upselling and cross-promoting services and retail products.
• Manage membership programs, promotions, and gift card sales.
• Track key performance metrics (e.g., client retention, product sales, appointment conversions).
• Suggest marketing strategies, social media content, and promotional campaigns.
Leadership & Operations Support
• Communicate effectively with practitioners, estheticians, and management to ensure smooth operations.
• Keyholder responsibilities: Open and close the office, following security procedures.
Requirements:
β 3-5 years of experience in a medical spa, wellness center, or healthcare setting
β Strong customer service and sales experience
β Familiarity with cosmetic treatments, skincare, and wellness services
β Proficiency in scheduling software (Blvd preferred) and office management
β Ability to handle client concerns professionally and maintain a high-end client experience
β Strong multitasking, organizational, and communication skills
β Leadership capabilities with the ability to assist in managing staff and operations
