Hera Beauty & Wellness is not your average med spa. Founded by a dedicated OBGYN, we have spent 15 years bridging the gap between clinical wellness and aesthetic beauty. We are expanding into a brand-new, state-of-the-art second location and are seeking a results-driven Practice Manager to lead operations, growth, and team performance.

Key Responsibilities
Team Management
- Set the vision and direction for the clinic team, aligning priorities and fostering enthusiasm toward unified goals.
- Recruit, hire, train, and retain a high-performing and diverse team.
- Conduct 1:1 coaching, performance evaluations, and create Individual Development Plans.
- Manage staff schedules, optimize workflow, and ensure compliance with HIPAA and clinic protocols.
- Gather, track, and report key metrics and KPIs to monitor team performance.
Client Relations
- Oversee client experience to ensure a seamless, professional, and welcoming journey.
- Handle escalated client issues with tact, empathy, and professionalism.
- Implement referral programs and concierge fee offerings to grow client loyalty.
Financial & Administrative Management
- Coordinate with billing teams and resolve any payment or billing issues.
- Monitor revenue performance, maximize collections, and implement cost-saving initiatives.
- Ensure efficient administrative operations, inventory management, and compliance.
Marketing & Growth Initiatives
- Develop and manage monthly promotional and social media calendars, including email newsletters, posts, and reels.
- Collaborate with providers and owners to create content, promote testimonials, and coordinate online reviews.
- Assist with influencer outreach, podcast bookings, and plan both virtual and live events.
Continuous Improvement
- Identify and implement improvements to systems, policies, and procedures to increase efficiency and elevate the level of service.
- Support staff development, model a positive growth mindset, and inspire excellence throughout the clinic.
Who You Are (Preferred Qualifications)
- Experience: 3+ years in Medical Practice Management (Aesthetics, OBGYN, or Concierge Medicine preferred).
- Bachelor’s degree preferred (Management, Healthcare, or related field); HS Diploma/GED required.
- Proven experience managing, coaching, and developing teams.
- Experience in OBGYN or aesthetic practices is highly preferred.
- Familiarity with EMR systems, Microsoft Office, MacOS, and modern office technologies.
- Strong knowledge of medical terminology, billing, insurance reimbursement, and financial management (including P&L oversight).
- Proven ability to coordinate marketing efforts (promotional calendars, live events, social media).
- Excellent organizational, communication, and active listening skills.
- Ability to handle multiple tasks, adapt to unexpected challenges, and maintain a professional, positive demeanor.

Compensation & Benefits

- Base Salary: $75,000 – $90,000 (Depending on experience).
